The fruit has been in the store all season. Now it starts coming out. Clearing is where you record which lots left, and where each lot goes next.

The one job of this screen: for every lot coming out, choose one of two roads — send it to the grading table, or send it straight to the bill. Nothing else on this screen matters as much.

Who does what

Every button looks the same for everybody

The screen does not grey out a button you are not allowed to press. It looks normal, you press it, and only then a red line appears saying you are not allowed. Nothing is broken and nothing was saved — it simply is not your job.

The CA side

Open Clearing in the side menu. The page that opens is titled Clearing board. It has two tabs. CA opens first, every time.

Two screens, two names for the same thing

The empty message here reads “No chamber is currently clearing — sign a seal-break on the Seal-break screen first.” There is no screen called “Seal-break”. In the side menu it is called Chamber seals. Go there instead. Same thing, different name.

If the chamber list is empty, do not wait

An empty list means nobody has signed the seal-break for that chamber yet. Call the manager. Until it is signed, this screen can do nothing for that chamber.

Once you pick a chamber, the board opens. It shows the lots grouped under each grower’s name, three counts per lot, and the buttons.

Out stays 0 for a long time — that is normal

Clearing does not move any stock. It only writes down the decision. Out only changes later, when a dispatch challan is actually made. Do not press anything again because Out still says 0.

The two roads

دو راستے

Each lot that still has crates shows two blue buttons. You press one. That is the whole decision. Ask the manager or the grower which road this lot takes — do not guess.

Pressing the wrong one is a real loss

If a lot that needed grading is sent Direct to billing, it disappears from the grading list. The grower is billed without ever being graded or packed. Nobody gets a warning. Ask first, press second.

After you press, the buttons disappear

Once a lot is routed, both buttons vanish from that row and a blue pill takes their place, showing the road you chose. This is normal. To change the road you must use the New batch button at the top — you cannot change it from the row again.

The last decision is the one that counts

If the same lot is routed twice, the computer keeps only the newest one. There is no double booking and no error message. So a mistake can be corrected — through New batch, with the manager present.

اگر ایک ہی لاٹ دو بار روانہ ہو، تو کمپیوٹر صرف آخری فیصلہ رکھتا ہے۔ نہ دُہری اندراج ہوتی ہے، نہ کوئی غلطی کا پیغام۔ یعنی غلطی درست ہو سکتی ہے — New batch سے، منیجر کی موجودگی میں۔

The New batch window

نیا بیچ والی کھڑکی

A batch is just the written record of which lots physically left on one day. Use it when several lots go out together, or when you need to change a lot’s road. The window is titled New clearing batch.

Routing is already set to “Direct to billing” — before you touch it

The window opens with Direct to billing already chosen. That is the road that skips grading and packing completely. If you just tick your lots and press Create batch without looking, every one of those lots goes straight to the bill. Look at Routing every single time.

The same lot, twice, on the same date

You cannot record one lot twice on one date. The computer refuses with the lot’s long code number. That is a protection, not a fault. Change the date, or take that lot out of the tick list.

The Cold Storage side

Press the second tab, Cold Storage. This side is much simpler. Plain cold storage is never sealed, so there is no chamber to pick and no seal-break to wait for.

The row will vanish — that means it worked

The moment you press one of the two buttons, that row leaves the list. That is the proof it was recorded. Do not press again looking for a message.

You cannot undo it from this tab

Once the row is gone, this tab cannot bring it back — and there is no New batch button on the Cold Storage side. If the wrong road was chosen, call the manager the same day.

Two screens call it by two names

Here the tab reads Cold Storage. On the Occupancy screen the very same thing reads just CS. Both mean plain cold storage — the fruit that is not under a sealed CA chamber.

Write off is the red button at the end of a lot’s row on the CA side. It means: the crates still inside are gone, and no challan will ever be made for them. Rotten fruit, or fruit that was thrown away.

This cannot be undone — and the screen does not tell you that

The little window only says “Records this lot’s N remaining crate(s) as permanently leaving without a dispatch challan.” It never uses the words “cannot be undone”. But it cannot. The moment you press the red Write off, that lot’s remaining count becomes zero for good. No manager, no supervisor, nobody in the store can put it back. Only write off fruit you have seen with your own eyes.

Write the real reason, in full

Reason is required — the button stays grey until you type something. Write what actually happened: “rotten, chamber 4, seen by supervisor”. Do not write “x” or “ok”. This line is what the grower will be shown if he argues about his crates later.

This is the last action of the season for one chamber. It stays grey until every single lot in that chamber is either fully gone out or written off. When it turns usable, a green Ready to close pill also appears.

Read the words on the confirm window

It says: “Closes this chamber for good — computes any remaining shrinkage and marks every lot closed. This cannot be undone.” This one does warn you. Believe it. Only the manager should press it, and only after walking the chamber and seeing it empty.

“Shrinkage” means weight lost in storage

Closing the chamber makes the computer work out, for every lot, how much weight went in versus how much came out packed. That number is then fixed forever. If a lot’s Grading & Packing bill has not been made yet, that lot simply gets no shrinkage figure at all.

The computer sometimes shows technical English. Find your message below and do what the last column says.

Some messages contain a very long code — ignore it

A few red lines carry a 36-character code in the middle, like this:
lot 3f9a1c62-8d47-4b5e-a1f0-72c9d4e6b038 is already recorded in a batch dated 2026-08-13
That code is the computer’s own name for the lot. It is not a lot number and you cannot look it up anywhere. Read only the plain words around it, and call a supervisor — do not try to make sense of the code.

Never do this

Never press Write off to clear a lot off your screen. Write-off is for fruit that is truly gone. A lot written off by mistake is a grower’s crates lost forever, with your name on the record.
